Who Needs a DSC for EPFO

The DSC belongs to the employer's authorised signatory — usually a director, partner, proprietor or an HR/finance officer formally authorised for the establishment. That person uses the certificate to digitally approve member KYC, attest transfer claim requests, and sign establishment-level submissions on the employer portal.

Employees do not need a DSC. Their claims and KYC updates are authenticated through UAN and Aadhaar-linked OTP; the employer's digital signature is what completes approval on the employer side.

Documents Required

Class 3 Individual DSC (authorised signatory):

  • PAN card
  • Aadhaar card with the mobile number linked for OTP
  • Recent passport-size photograph
  • Active email ID and mobile number for OTPs during KYC

Class 3 Organisation DSC (establishment):

  • Organisation PAN card
  • Certificate of Incorporation or registration proof
  • Authorised signatory's PAN and Aadhaar
  • Board resolution or authorisation letter naming the signatory
  • Signatory's passport-size photograph

Registering the DSC on the EPFO Employer Portal

EPFO changes its portal layout from time to time, so treat these as the general sequence rather than exact menu names:

  1. Install the USB token drivers and the signing utility the portal asks for, then plug in the token.
  2. Log in to the employer portal with your establishment credentials.
  3. Open the digital signature / e-Sign registration section for the establishment.
  4. Enter the authorised signatory's details exactly as they appear on the certificate.
  5. Select the certificate from the token when prompted and submit the registration.
  6. Complete the approval step EPFO requires — an authorisation letter is generally submitted to the regional office before the registration goes live.

Once registered and approved, approvals signed with that certificate are accepted until the certificate expires or the signatory changes.

Common Errors and How to Fix Them

  • Token not detected — the token drivers or the portal's signing utility are missing or blocked by the browser. Reinstall both, then restart the browser with the token plugged in.
  • DSC not registered — the certificate has not yet been mapped to the establishment, or the registration approval is still pending. Complete the registration step and follow up on the approval.
  • Name mismatch — the name on the certificate must match the authorised signatory recorded for the establishment. Update one or the other so they agree.

  • Signatory has left the organisation — register the new signatory's own certificate; certificates cannot be transferred between people.
